Ministry Assistant

(Part-Time: 20-30 hours/week)

Accountable to: Senior Pastor
(receiving applications through May 20, 2024)

Position Objective
The ministry assistant must be committed to teamwork and have the ability to maintain complete confidentiality at all times.  This person must possess and exhibit proper business etiquette and grammar.  This includes being friendly and courteous when meeting people and having telephone skills that show respect, compassion and kindness.  The successful candidate must have a working knowledge of Microsoft Word, Excel and other Microsoft Office software, have a working knowledge of office skills. 

Employees shall be of high moral character and possess views consistent with the beliefs of the church.  

Essential Job Functions

  1. Provide support for church members, staff, and ministers
  2. Greet church guests and provide the first point of contact upon entering the church
  3. Assist and managing the church notification systems (phone, text, etc) for all church members
  4. Assist in scheduling appointment, events, etc. for ministers and church and maintain on web site
  5. Assist in managing facility use schedules, rental details, and assist couples who are planning weddings
  6. Assist with scheduling for ministers to ensure that time is used to best serve the church
  7. Assist in maintaining six month and twelve month building maintenance records and communicate to staff
  8. Assist in maintaining records for the State of TN Health inspection, elevator, fire alarm, burglar alarm, copier, filters, ice machines, etc.)
  9. Assist managing church keys and security systems
  10. Assist in preparing and communicating schedules for various church ministries
  11. Use of computer, phones, copiers, printers, Microsoft Office, Windows operating systems, use of attendance and financial software to assist church in record keeping, and other software
  12. Assist in preparing deacon materials, TBC Annual report, nomination committee, membership and other reports as requested
  13. Assist with flower and nursery scheduling, posting attendance, ARMY outreach, Christmas Card list, and mailing notifications 
  14. Assist with weekly bulletin, mailings, member outreach, monthly business report, and creation of material and handouts for various church needs
  15. Assist with management and ordering church teaching and other materials
  16. Assist in maintaining Cedar Grove Cemetery records
  17. Serve as RISK management Coordinator 
  18. Serve as Documents Administrator tasked with maintaining church records
  19. Shall work in cooperation with all Ministerial/Support Staff
  20. Perform other duties as assigned

Job Standards

  1. High school diploma or GED preferred
  2. Office work experience preferred
  3. Demonstrated ability to use a computer and Microsoft office products
  4. Demonstrates knowledge and expectations of job functions
  5. Demonstrated self-starter with ability to work with minimum supervision, to establish goals and objectives, produce clear and concise written instructions and reports, to prioritize work to be completed, and to ensure the completion of those tasks
  6. Demonstrated good character, mature attitude and judgment, and stable personality with the ability to work with a variety of individuals and always present the Church in a positive manner
  7. Willingness to work flexible hours and provide after hour support as needed
  8. Maintain confidentiality of sensitive information, must be able to pass a background check, and a valid driver’s license is required and must be maintained 

Equipment Used

Daily use of office equipment to include, but not limited to, computers, printers, copiers, multimedia and audio visual equipment, TVs, projectors, Microsoft Windows and Apple operating systems, phone systems, and willingness to learn and utilize emerging technologies and devices.

Critical Skills/Expertise

Ability to efficiently manage the functions and details essential to the operations related to the position.  Must have the ability to communicate effectively both orally and written and to establish and maintain effective interpersonal relationships with others.  The successful candidate must also possess the ability to apply problem solving skills in an organized and effective manner.  At times, may need to lift and stack fifty pounds and transport equipment and other items in the normal course of performing duties. Must be able to drive church vehicles.

Work Day & Location

This position is normally required to report to work during normal business hours 9-4, four days per week.  This position is required to work outside of these normal hours and on weekends for special events, emergencies, and/or in order to meet church deadlines.
